PICK UP YOUR QUILL – SUBMISSION TERMS AND CONDITIONS

Thank you for your interest in submitting your written “Pick Up Your Quill” contribution to the Wizarding World team for the chance to have your contribution featured on Wizarding World’s website, app, newsletters, social channels and other Wizarding World materials and publications.

If you would like to submit a contribution you can do so by emailing your contribution to [email protected] but you must send your contribution from the email address linked to your Gold Membership account as Pick Up Your Quill is only open to Wizarding World Gold Members.

By emailing your “Pick Up Your Quill” contribution, you agree to accept these Pick Up Your Quill Submission Terms and Conditions (“Submission Terms”), and importantly, you agree to assign and transfer ownership of all intellectual property rights in and to your contribution to Wizarding World Digital Limited and Wizarding World Digital LLC (collectively “WWD”) to use in any manner as WWD may determine in its sole discretion, including without limitation the publication of your contribution on WWD’s website, app, social channels and in emails and use of your contribution for any publicity, marketing and promotion purposes connected with the Harry Potter Fan Club and Wizarding World, in any media, worldwide and in perpetuity.

IF YOU DO NOT WISH TO BE BOUND BY THESE SUBMISSION TERMS AND DO NOT WISH TO ASSIGN AND TRANSFER OWNERSHIP OF YOUR CONTRIBUTION TO WWD THEN PLEASE DO NOT SUBMIT YOUR CONTRIBUTION TO WWD.

Am I allowed to submit a contribution?

In order to submit a contribution YOU MUST BE:

  • Aged 18 years old or over

  • A current, active and paid up Harry Potter Fan Club Gold Membber on the date you submit your contribution

  • Resident in only the United States or the United Kingdom

Requirements for your contribution:

YOUR CONTRIBUTION MUST BE:

  • Submitted via email only to [email protected] and sent from the email address linked to your Gold Membership account

  • Submitted within the time period for submissions specified by WWD in the Pick Up Your Quill Vault benefit card in the Harry Potter Fan Club app – sorry WWD cannot review or consider contributions received after the deadline!

  • In text format only

  • Written in the English language only

  • No longer than 300 words in total

  • Wholly original and not been copied, reproduced or adapted from any other source

  • Appropriate for Wizarding World fans of all ages across the world

YOUR CONTRIBUTION MUST NOT:

  • Depict or refer to real life people or events

  • Include your full name, address, telephone number or any other personal information or data about you or any real life individuals

  • Contain any photographs, images, Gifs, sounds, music or videos

  • Contain anything obscene, unlawful, harmful, offensive, inappropriate, defamatory or infringing of any individual, organization or third party

  • Contain references to any third parties (including any third party brands, trademarks or characters)

  • Contain or include new fictional stories about the Wizarding World, only your original non-fiction writing about the Wizarding World existing stories can be accepted

Your promises and commitments to WWD:

By submitting your contribution to WWD YOU ACCEPT AND AGREE THAT:

  • You will include, as part of your submission, your first name, your country or state of residence and your Hogwarts house

  • You are the sole author of the contribution

  • You assign and transfer ownership of all intellectual property rights and any other rights in and to your contribution to WWD to use, distribute and exploit in any manner as WWD may determine in its sole discretion, including without limitation the publication of your contribution on WWD’s website, app, social channels and in emails and use of your contribution for any publicity, marketing and promotion purposes connected with the Harry Potter Fan Club and Wizarding World, in any media, worldwide and in perpetuity

  • If your contribution is selected by WWD for publication or use, you will sign a written assignment and release form on WWD’s standard terms and conditions confirming (i) your transfer and assignment of rights in your contribution to WWD; and (ii) the commitments and promises you’ve made to WWD about yourself and your contribution in these Submission Terms

  • Except for the chance to have your contribution published or used by WWD, you do not expect nor will you receive any prize, reward, payment or other form of compensation for your contribution

  • WWD has sole and absolute discretion in deciding whether or not to publish and/or use your contribution

  • WWD may amend, adapt, edit and/or creative derivative works based on your contribution prior to or following use or publication of your contribution in WWD’s sole and absolute discretion without your consent or approval and without notice to you

  • WWD cannot promise to respond or reply to every email contribution we receive and unfortunately you may not receive any acknowledgement of your contribution by WWD

  • WWD has no obligation to review and/or use your contribution and WWD will permanently delete/purge your contribution from our systems if WWD does not use, review or decide to publish your contribution within 60 days of the end of the deadline for receipt of submissions

  • WWD may credit and attribute your contribution to you when we make use of or publish your contribution, for example by referencing your first name, country or state of residence and your Hogwarts house), HOWEVER WWD makes no commitment and has no obligation to credit you in any such use or publication

  • WWD may freely and without any restriction, transfer, assign and/or sub-license to any third party, any or all of WWD’s rights assigned by you in your contribution to WWD, without any requirement to notify you or obtain your consent or approval

Wizarding World Privacy Notice:

WWD will process your personal data when you submit your contribution to WWD’s email account and where WWD needs to contact you regarding publication and use of your contribution.

WWD may also share your personal data with other third parties such as other entities in the WWD group, WWD’s promotional partners and the press. The legal basis for the processing of your personal data is for WWD to conduct its business and pursue its legitimate interests.
